The Senior Administrative Assistant will provide a variety of support services necessary for department operations within Imaging Services. This position functions to coordinate and monitor daily administrative activities and services in the department. This position provides comprehensive administrative support to the department including but not limited to: responds to calls from internal/external customers, triage of calls and direct to appropriate contact, entry and correction of timekeeping for administrative team, creating and running reports, maintaining department records, oversees document retention processes, purchasing of specialty supplies, typing of technical/confidential materials, coordination of complex meetings with both internal and external customers, assists with projects and committees, serves as the point of contact and coordinates all observation requests. Position is also involved in new hire training and onboarding, supporting training and reporting on non-clinical education and compliance programs.
This position provides direct administrative support to the Director of Imaging Services, Imaging Technical Director, and Associate Directors of Imaging Services and manages the office functions of the Imaging Administrative office. The senior administrative assistant also supports nonclinical needs from all Imaging Services leaders which comprises of >45 individuals in over 40 different cost centers. Position provides a broad range of basic to complex administrative services relating to calendar management, document preparation, travel management, meeting paperwork and preparation, and overall clinic workflow. This position requires the ability to effectively communicate across internal and external organizations in line with all organizational policies and procedures.
Per CCS Rules: High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.
