Year Round Pool is seeking a detail-oriented and customer-focused Administrative Assistant to support our growing Repair Department. This position plays a key role in ensuring our customers receive timely updates, accurate information, and exceptional service throughout the repair process.

The ideal candidate has strong administrative and customer service experience, enjoys helping customers, and excels at managing details in a fast-paced environment.

Responsibilities

• Answer incoming phone calls and assist customers with repair-related inquiries
• Provide updates regarding parts availability, parts orders, and warranty claim statuses
• Communicate professionally with customers, vendors, and internal team members
• Enter and maintain accurate customer, repair, and warranty information in company systems
• Monitor open repair orders and assist with administrative follow-up as needed
• Assist with scheduling, documentation, and general administrative support for the Repair Department
• Maintain organized records and ensure information is updated accurately
• Support customers by answering questions and directing concerns to the appropriate department
• Assist with accounts receivable and collection activities on an occasional basis when needed
• Perform other administrative duties as assigned

Qualifications

• 1+ years of administrative, customer service, or office support experience preferred
• Strong data entry skills with a high degree of accuracy
• Excellent verbal and written communication skills
• Strong organizational and time management abilities
• Ability to manage multiple priorities and follow through on tasks
• Professional and friendly customer service approach
• Proficiency with computers and common office software
• Experience in service, construction, repair, warranty administration, or related industries is a plus
